However, what is obvious to us is not necessarily obvious to others. In some circumstances, warehouse staff reserves non-existent unloadings or loadings in order to artificially raise workload.
Here are some pieces of advice from GoRamp experts on how to avoid fraudulent system filling and have the most accurate statistics on staff occupancy rates.
Restriction of staff access to the system
Unlimited access can make it difficult to control what changes are made to the system and who made them. Use our Roles & Permissions feature to set different accesses for different users.
Validation of the reservations
Check the reservations made by the personnel on a regular basis. If they are made just a few minutes before truck arrival or revoked (changed status) quickly after, it is possible that these reservations are fake. To investigate the situations go to List>Edit>Table>Created by where you will see who and when made the reservation.
Usage of the warehouse link for carriers
In certain circumstances, not only carriers use their link to reserve ramps. These links can be used to artificially enhance ramp occupancy. The good news is that these situations are also manageable. Carriers seldom reserve ramps on the same day they arrive. It is really simple to trace down fraudulent bookings.
Track non-arrival cases with carriers
The easiest way to check recurring cancellations is to ask carriers. Carrier representatives will know the reason for the cancellations. If it turns out that the carrier is not aware of the cancellations you can suspect fake filling of reservations.
Photo of the number plate
This is an excellent method to determine the legitimacy of bookings. A snapshot of the truck numbers added to the reservation will prevent fake reservations.
Reason for closing the reservation
Request that colleagues fill in the reason for canceling the reservation. Check the legitimacy of the reasons with the carrier provider on a regular basis.
